BOOKING DETAILS

Please ensure you have read through the following Terms and Conditions prior to making a booking with AIM 4 AFRICA.

RESERVATION CHARGES:
A 30% non-refundable deposit is required at the time of booking with the balance to be paid at least 30 days before the tour begins. For last minute reservations conditions will change.

CANCELLATION CHARGES:
Prior to tour departure, for cancellations received by us in writing:-
from booking time to 35 days prior : 30% tour cost
34-15days prior: 50% tour cost
14-7days prior: 75% tour cost
6days or less prior or no show: 100% tour cost
There are no refunds for unused portions of the program, and refunds will not be made to clients who do not complete the tour for any reason whatsoever. Amendments made to the itinerary once paid for may result in additional costs.

CANCELLATION BY AIM 4 AFRICA
AIM 4 AFRICA reserves the right to cancel your holiday in any circumstance, for any reason and at any time before full payment has been received. In these circumstances, we will return to you all monies paid or offer an alternative holiday of a comparable standard. AIM 4 AFRICA reserves the right to cancel your holiday at any time due to circumstances amounting to force majeure, which include war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural disaster, fire, adverse weather conditions, power failure, technical problems with transport, flood, drought, Government action, unscheduled camp or lodge closure (including but not limited to closure due to fire, flood, adverse weather damage, strike action, etc.) and other unusual and unforeseen circumstances. In circumstances amounting to force majeure no compensation will be payable.

QUOTATIONS AT TIME OF BOOKING
The quote provided for your itinerary is based on known costs and exchange rates prevailing at the time the itinerary is issued. At any time before full payment has been made, AIM 4 AFRICA reserves the right to levy a surcharge where costs or exchange rates have increased since the time of issue of the itinerary. AIM 4 AFRICA will absorb amounts of up to 5% of the total holiday price and surcharge any amount greater than 5%. Should the surcharge exceed 10% of the total holiday price you are entitled to cancel the holiday and receive a full refund of all monies paid. Cancellations must be made in writing.

UNUSED SERVICES
AIM 4 AFRICA
provides clients with detailed information on the itinerary and this is confirmed with the client's approval. AIM 4 AFRICA is unable to refund any part of services unused as a result. This includes instances of sickness on Mount Kilimanjaro treks for example. All fees are paid in full and are non-refundable.

AMENDMENTS TO HOLIDAY BY CLIENTS
AIM 4 AFRICA will do our best to make changes to the client's itinerary if requested, after a deposit has been made, provided that notification of this is received in writing. Each change is subject to a fee of GBP£50 to cover administration costs. Any request for an alteration made within 10 weeks of departure will be treated as a cancellation of the original booking and will be subject to our cancellation charges.

AMENDMENTS TO HOLIDAY BY AIM 4 AFRICA
It is unlikely that we will have to make any changes to your holiday, although we reserve the right to make changes at any time. If there are any changes, most of these will be minor and we will advise you of these in writing at the earliest possible date. When a major change is necessary such as the alteration of your outward or return flights by more than 12 hours or a change in the standard of accommodation or a safari destination, provided it does not arise from conditions amounting to force majeure (as described above) you will have the choice of accepting the new arrangements, taking another holiday with us or cancelling your holiday and receiving a full refund of all monies paid. You will be responsible for any additional expenses incurred as a result of itinerary change in these circumstances.

WHAT IS INCLUDED/EXCLUDED
All quotations you receive from us detail what is included and what is excluded in order that you have all the information you require. Please contact us if you have not received this information. This varies with the type of holiday and accommodation booked.

CLIENT RESPONSIBILITY
It is the responsibility of the client to ensure that all travel documents including passports, visas and vaccination certificates are in order. AIM 4 AFRICA can offer general advice but cannot be held responsible for failure on the client's part to comply with legislative requirements prior to departure. You are responsible for a timely check-in for all flights and for presenting yourself to take up all pre-booked components of your holiday with AIM 4 AFRICA. Should you fail to comply with this, then no credit or refund will be given if you fail to present yourself at the appropriate time or place in accordance with your final confirmation details and itinerary, nor if you lose any travel document. Please remember that there are inherent risks involved in all holidays to Africa and these must be accepted by you at your own risk.

RESPONSIBILITY & INSURANCE
It must be clearly understood that these are adventure safaris and there are certain dangers and risks which are inevitable. Whilst every care is taken for the safety and comfort of our clients, the company accepts no liability for all or any of the following:
• Damage or loss of property of any client, howsoever caused.
• Sickness, infection, injury or death of the clients, howsoever caused.
• Change of itinerary due to road and weather conditions.
• Damages, directly or indirectly, arising out of delays in departure or arrival including delays occasioned by the missing of road, rail, ship or aircraft connections.
It is therefore understood, on receiving a clients' booking that adequate and valid insurance cover against these and other risks have been taken care of by the client.

BAGGAGE
Baggage sizes must be reasonable.
On safari: Unless there are only 2 passengers in the vehicle, we will NOT take suitcases or rigid cases. (One backpack or holdall per person of max. 20kgs is fine)
On our treks (Kilimanjaro, Meru, Mt Kenya, Oldonyo Lengai, etc): we will NOT take suitcases. One medium sized duffel- bag or backpack is acceptable (max.15 kgs) - as this is going to be carried by a porter (on foot!). For Kilimanjaro especially, bags must be waterproof. A small daypack will also be found handy.  In addition, local airlines have limitations on checked in luggage. We will advise you on these should your holiday include any local flights. (For example, Precision Air: 20 kgs max per person, Coastal Air: 15 kgs max per person).

PASSPORTS & VISAS
All visitors to East and Southern Africa must have passports valid for travel to the particular country (Tanzania, Kenya, Uganda, Rwanda, Malawi, Zambia, Botswana, Namibia and Mozambique) as well as visas to enter the specific country/countries obtainable from the respective diplomatic representatives in your country. See VISA SECTION below.
Currently, visas are available at Tanzanian, Kenyan, Ugandan and Rwandan Airports & Border-posts (if you intend purchasing a visa on arrival, please check with the respective diplomatic representatives in your own country or check with us prior to make sure this option is available).
Note: YOU MUST come with a health certificate read (Health) below

HEALTH
Visitors to Kenya, Tanzania mainland and Zanzibar should have an International Certificate of vaccine against Yellow Fever.  Anti-malarial tablets are recommended for travel to all sub-Saharan Countries (with the exception of certain parts of South Africa) and to be taken a few days prior to arrival, during your stay and a short period after returning. (However, we strongly recommend that you consult your General Practitioner (GP)/Physician/Travel Clinic for advice on inoculations and antimalarial advice). For those going Mountain trekking, we will assume you have received prior consent from your GP/Physician & Dentist. Note if you have a cough, cold, or any respiratory illnesses, diabetes(or any illness due to irregular blood sugar levels) do NOT attempt to trek these mountains, It can be dangerous and could prove fatal. If you do attempt it anyway (Aim 4 Africa will require a statement in writing saying that you have sought the approval of your GP/Physician and that you will be undertaking the trek at your own risk), park regulations restrict you to trek above 3000m. If you have any physical disabilities please let us know. Also note:You are NOT permitted to trek these mountains if you have any of the following; Cardiac problems, high/low blood pressure, pulmonary diseases as well as respiratory problems. Remember that if you decide to with-hold information on any such illness you are taking risks not only with your own health, but putting your crew and our company at risk too.  Extensive reading on mountain/high altitude related & tropical diseases is highly recommended.

FLYING DOCTOR MEMBERSHIP
We would recommended temporary Flying Doctor membership to cover air medical evacuation to Nairobi. Participation fee is currently GBP£25/£35pp (14 days/2months) for Kenya, Rwanda and Northern Tanzania and GBP£35pp for Southern Tanzania.
